Summary
Cambridge Heat Pumps is an enquiry-matching service, not an installer. When you send us an enquiry, we pass it to one independent, MCS-certified installer in the Cambridge area so they can respond to you. We do not keep your enquiry: your details are not saved in any database (we keep only an anonymous tally, with no personal details), and the email copy in our inbox is kept only as long as needed to pass it on or reply to you. We do not sell your data, use it for marketing, or use tracking cookies.
The rest of this page is the detail.
Who we are
The data controller for this site is:
Bartram (Robert Alsop) Individual Entrepreneur (Georgian: მეწარმე) Tbilisi, Georgia Tax ID: 306572731 Registered: 30 September 2026 Email: privacy@cambridgeheatpumps.co.uk
UK representative. We are based outside the UK and have not yet appointed a UK representative under Article 27 of the UK GDPR. You can contact us directly at privacy@cambridgeheatpumps.co.uk about anything on this page. We reply in English within one month. If we appoint a representative, their details will appear here.
What we collect
When you send an enquiry
The enquiry form asks for:
- Name (required), so the installer knows who they are replying to.
- Email address (required), so they can reply.
- Your message (optional): a description of your property and what you need.
- Phone number (optional), if you would like a call back.
- Postcode (optional), so we can pass your enquiry to an installer who covers your area.
We also record which page the form was sent from.
To stop automated spam, the form includes a simple automatic check (a hidden field, the time taken to fill the form in, and whether the message contains web-link code). It doesn’t use any third-party service, and nothing from it is kept.
What we do not collect
- No analytics cookies. We use Cloudflare Web Analytics, which is cookieless and does not track individuals. There is no Google Analytics, Meta Pixel or similar.
- No advertising cookies, retargeting or cross-site tracking.
- No payment details. We do not charge homeowners anything.
- Please do not include health or other sensitive information in your message. The installer does not need it.
How your enquiry travels
- You submit the form.
- Our form handler (running on Cloudflare) checks it is not spam and emails it to our inbox. Your details are not written to any database; the handler only adds one anonymous line to our tally (see below).
- We pass your enquiry to one independent, MCS-certified installer who covers your area, or reply to you ourselves if we cannot find a suitable installer. Your enquiry is never sent to several installers at once.
- The installer contacts you directly. From that point, they handle your details under their own privacy policy, as an independent controller.
- We keep the email in our inbox only as long as needed to pass it on or reply to you.
Anonymous tally. For each enquiry we record only the date, that it came through the form, whether it was delivered, the page the form was sent from, and the postcode district (for example “CB4”). It holds no name, contact details, full postcode, phone number or message, so it does not identify you. It is stored with Cloudflare and helps us see how many people the site helps.
Why we are allowed to use your data (lawful basis)
- Consent (UK GDPR Article 6(1)(a)): by sending an enquiry you agree to us passing it to one local installer so they can respond. You can withdraw consent at any time by emailing privacy@cambridgeheatpumps.co.uk. If we still hold your enquiry, we will delete it and not pass it on.
- Legitimate interests (Article 6(1)(f)): the spam check on form submissions, which protects the site with minimal impact on you.
We do not use your data for marketing, profiling or automated decision-making.
Who handles your data
The installer we pass your enquiry to (one installer per enquiry), who becomes responsible for their own handling of it.
Service providers acting on our behalf:
- Cloudflare, Inc. (United States): hosts the website, runs the form handler and spam check, delivers the enquiry email, stores the anonymous tally, and provides cookieless analytics. Cloudflare privacy policy.
- Google LLC (United States): provides the email inbox where enquiries arrive until they are deleted. Google privacy policy.
We never sell your data or share it with anyone else.
International transfers
We are based in Georgia, and the service providers above are based in the United States, so your enquiry is transferred outside the UK. Georgia does not currently have a UK adequacy decision. Transfers to the United States rely on the UK Extension to the EU-US Data Privacy Framework where the provider is certified, or otherwise on the ICO-approved International Data Transfer Addendum to the EU Standard Contractual Clauses. Because we delete enquiries once they are passed on, your data spends as little time outside the UK as possible. Questions: privacy@cambridgeheatpumps.co.uk.
How long we keep it
- Your enquiry: not stored in any database. The email copy is kept only as long as needed to pass it on or reply to you.
- Anonymous tally (date, type, outcome, page, postcode district): kept while the site runs. It contains no personal details.
Your rights
Under UK GDPR you can ask us to:
- give you a copy of any personal data we hold about you (access)
- correct it (rectification)
- delete it (erasure)
- restrict or object to its use
- give it to you in a portable format (portability)
- stop using it, by withdrawing consent
Because we delete enquiries once they are passed on, we will often hold nothing about you. If so, we will tell you, and tell you which installer we passed your enquiry to so you can contact them.
Email privacy@cambridgeheatpumps.co.uk to use any of these rights. We reply within one month, free of charge.
You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
Cookies
This site uses essential cookies only. Cloudflare may set short-lived security cookies for bot protection. There are no analytics, advertising or tracking cookies, so there is no cookie banner. If that changes, we will update this page and ask for your consent first.
Changes to this policy
If the way we handle enquiries changes (for example, when an installer partner receives enquiries directly), we will update this page and its effective date first.
